The Schedule page is the whiteboard: guides down the side, the week across the top, every confirmed departure waiting for a name. Guides see their trips on their phone the moment you save, can request the ones they want, and log their own time off. On trip day, the manifest carries the counts, the waiver status, the meeting spot, and the notes, and Tarn adds up the hours for payroll.

How it works

Assign per departure, not per booking

Click a guide's cell on the Schedule page, tick the departures, Save Assignments. One assignment covers every booking on that trip slot. Assign as many guides to a departure as the day needs.

Guides ask, you approve

Guides see Available Trips and tap Request to Guide. Approvals sit at the top of your Schedule. Time Off is self-serve and shows up as a warning when you try to assign over it.

The guide's own view

A guide logs in to today's trips, My Schedule, and the manifest for each departure: guests, waiver status, emergency contacts, meeting address with directions, what to bring, co-guides, and your notes. Nothing they shouldn't touch.

The manifest on a phone

Reports → Daily Manifest shows Departures, Total Guests, and Waivers Pending for the day, then every booking with names, phones, adults and youth, guides, and notes. Filter by guide. Print it or export it.

Walk-ins and no-shows

A walk-in is a New Booking on your phone: name, phone or email, Record Payment, Send Waiver Request. A no-show is a status change that frees the seat and keeps the payment, with nothing emailed.

Hours, for payroll

Set each team member's pay type and rate in Settings → Team. The Payroll report derives hours from assignments and exports a payroll CSV and a QuickBooks Time CSV.

Good to know
  • Guides see their trips and manifests. They can't create or edit bookings, so a walk-up at the ramp is entered by someone with the Office role.
  • Tarn runs in the phone's browser and can be added to the home screen. It needs a signal; there's no offline mode.
  • Check-in is the No show status, not a per-guest attendance list.
Common questions

Do guides need an app?

No. They sign in on their phone's browser and can add Tarn to the home screen so it opens like an app. Assignments show up live, no refresh.

Can a guide see other guides' trips?

A guide sees their own schedule, the trips open for requests, and the manifest for departures they're assigned to. The full Schedule page and the Bookings list stay with the office.

What's on the manifest?

Guest names and phones, adults and youth, waiver signed-or-not per booking, the assigned guides, and notes. The guide's in-app version adds emergency contacts, the meeting address with directions, and what to bring.

Can I pay guides from Tarn?

Tarn calculates hours and estimated gross from assignments and your pay rates, and exports a CSV for your payroll system. It doesn't move the money.
